Package structures, and what to change in them

These are starting frames, not fixed products. Every element is interchangeable. What is worth understanding is why each frame is shaped the way it is, so that when you change something you know what you are trading away.

Three days two nights: conference plus gala plus Hoi An

The most common configuration for a group of 70 to 119 delegates at 4-star grade, and the frame most Da Nang briefs end up at.

Four days three nights: adding Ba Na or a free day

The natural fit for an incentive programme. The extra day goes to Ba Na Hills or to a genuinely free morning, and the gala moves to night two so the recognition has days left to be discussed.

Why the gala sits on night two

People are rested, and there are still two days left for the recognition to be talked about. Putting the gala on the last night before an early departure is the most common scheduling error in corporate programmes, and it costs nothing to fix.

Five days four nights: the international frame

For international incentive groups where people have flown a long way and a two-night programme does not justify the journey.

On comparing quotes

When a competing quote looks materially cheaper, the difference is almost always in this second column rather than in the rate. The three that most often sit outside a headline price: the beverage package, gala production as opposed to the gala meal, and airport transfers when arrivals are split across several flights.

Adapting a package

  1. Shorten by dropping Ba Na, not the free afternoon. The free afternoon is doing more work than it looks.
  2. Keep the Hoi An evening. It is the element with the highest recall and the cheapest one on the list.
  3. Upgrade accommodation grade before upgrading the gala. People notice their room every day; they see the gala once.
  4. Add the executive programme early. Separate leadership arrangements retrofitted late are expensive and visibly bolted on.
  5. If the budget is fixed and the headcount is uncertain, hold the headcount and cut the programme. The reverse damages more than it saves.

Yes. These frames exist to show the shape and the reasoning, not to constrain you. Send what you actually want and we will tell you honestly which parts work in this region and which do not.

Do package prices change by season?

Substantially. June and July run well above the September to December window, and the gap on the same programme is 25 to 30%.

Can we split the group into different programme tracks?

Yes, and it is common for leadership. It needs designing at the start because it affects vehicle allocation, restaurant bookings and coordinator numbers, all of which are sized against a single group by default.

Is Ba Na Hills worth a full day?

A full morning rather than a full day, and only with an early start. Arriving after 10:00 means queuing for the cable car and sharing the complex with the day-trip crowd, which is a poor use of an incentive budget.
