MICE Da Nang
What is the smallest group you take?
Twenty. Below that the fixed costs of a MICE structure spread across too few people and you are paying corporate prices for something a good travel agent could arrange more cheaply. We will tell you that rather than take the booking.
Do you handle flights?
No. We quote and operate the ground programme only. We will hold group seats through an airline group desk if it helps, but ticketing sits with you or your agent.
How far ahead should we book?
Forty-five days under 50 delegates, sixty for 50-100, ninety for 100-200. Add a month for June and July, when domestic demand and city events compete for the same space.
Can a programme cover Da Nang, Hoi An and Ba Na in three days?
Yes, and it is the most common shape we run. All three sit within an hour's drive, so the programme does not lose a day to transit. What it does need is deliberate sequencing, because Ba Na and Hoi An are both busiest in the middle of the day.

Are your rates inclusive of VAT?
Yes. All published rates include Vietnamese VAT and a full tax invoice is issued. Air tickets are excluded and quoted separately.
Do you handle the city's MICE support application?
Yes. Da Nang runs a MICE promotion programme through 2026 with support measures for qualifying groups. We prepare and file the application on your behalf, which operators based outside the city routinely skip.

Conferences
How many parallel breakout rooms can we get in Da Nang?
At the larger beachfront and riverside properties, typically three to six secondary rooms alongside the main ballroom. This is the clearest technical advantage the city holds over the island destinations, and it is worth confirming with a dimensioned floor plan rather than a brochure.
Do we need a separate venue for the conference and the gala?
Not usually below 150 delegates, as long as the room can be turned around. A turnaround takes three to four hours and needs to be built into the agenda. Above 150 a separate space or an outdoor gala is generally cleaner.
Is the internet reliable enough for a hybrid conference?
At the major hotels, generally yes, and better than on the islands. It must still be tested rather than assumed, and a dedicated line contracted for anything streaming. We test during the site inspection.
What is the largest conference the city can host?
The largest beachfront ballrooms take 800 or so banquet guests, and considerably more theatre style. For the 20 to 200 range we handle, capacity is never the constraint. Matching rooms and function space at the same property on the same dates is.

Incentive travel
How many nights do we need?
Four nights lets the programme use all three scenes without rushing: arrival, working day with the awards evening, Hoi An, and Ba Na or a free morning. Three nights works well and is the most common booking; it drops Ba Na rather than Hoi An, because the old town evening has the higher recall.
Should the gala be on the beach or in the hotel?
Beach from February to August, with a contracted indoor fallback. From September to December we would plan a ballroom gala and treat the beach as an upside, because that is the storm and rain window here.
Can we base the group in Hoi An instead of Da Nang?
Yes, and for experience-led programmes under about 120 delegates it often works better. The trade is function space: Hoi An properties carry 200 to 500 m² ballrooms rather than the 900 m² available on the Da Nang beach strip, and the airport transfer is forty-five minutes rather than twenty.
What about delegates with different dietary requirements?
Collected in the rooming list at fourteen days out. Vegetarian, Halal, gluten-free and allergies are prepared separately and labelled at every meal. Da Nang kitchens handle this routinely, because the city already receives large groups from India and Malaysia.

MICE hotels
Which hotel do you recommend?
It depends entirely on headcount, dates and what the programme is for, which is why we do not publish a fixed list. When you send a brief we come back with named properties, live availability and the specific trade-offs for your dates. A static recommendation list is out of date within a month.
Can we split a group across two properties?
Yes, and above 200 delegates it is sometimes the cleanest answer. It works when the properties are genuinely adjacent and one hosts all shared meals and the gala. It works badly when there is a transfer involved.
How early do we need to contract the rooms?
Ninety days for 100-plus delegates, sixty for 50-100. In June and July add a month: domestic peak and city events take the same rooms, and the function space usually goes before the rooms do.
Do you get better rates than we would get directly?
Usually, because we contract volume across the year rather than one group. But the larger gain is normally in the terms rather than the headline rate: attrition allowance, release date, complimentary allocation and late check-out are where a group's real money sits.

Conference venues
Can we hold a conference for 200 delegates and a gala for the same group in one venue?
Yes at the larger beachfront resorts, provided the turnaround is contracted. Allow three to four hours and build it into the agenda. The most common failure is an agenda that runs to 17:00 with a gala at 18:30 in the same room.
Is a beach gala possible year round?
Technically yes, practically no. From September to December we would plan a ballroom or covered riverside gala and treat the beach as an upside if the forecast allows.
How much does venue hire cost separately from a delegate package?
Most hotels waive or heavily discount function space hire when the group also books a meaningful room block and catering spend. Standalone hire without accommodation is where you pay full rate.
Can we use a venue outside our hotel?
Yes, and the riverside, rooftop and Hoi An options are the usual reasons to. It adds transfers and a second setup, so it should buy something real: a distinctive setting, or capacity the hotel does not have.

MICE packages
Can we build a programme that is not on this page?
Yes. These frames exist to show the shape and the reasoning, not to constrain you. Send what you actually want and we will tell you honestly which parts work in this region and which do not.
Do package prices change by season?
Substantially. June and July run well above the September to December window, and the gap on the same programme is 25 to 30%.
Can we split the group into different programme tracks?
Yes, and it is common for leadership. It needs designing at the start because it affects vehicle allocation, restaurant bookings and coordinator numbers, all of which are sized against a single group by default.
Is Ba Na Hills worth a full day?
A full morning rather than a full day, and only with an early start. Arriving after 10:00 means queuing for the cable car and sharing the complex with the day-trip crowd, which is a poor use of an incentive budget.

MICE prices
Why are these ranges rather than fixed prices?
Because the spread between a basic and a premium version of the same programme structure is genuinely that wide, and quoting a single number would mean choosing for you. The detailed quote is a fixed number against a specific brief.
How does Da Nang compare with Phu Quoc on cost?
At the same accommodation grade and programme shape, Da Nang runs roughly 15-20% below Phu Quoc. The reason is structural: nothing has to be flown or shipped to an island, and supply is deeper so properties compete for the group.
Is the autumn discount worth taking?
For a conference-weighted programme, usually yes. September and October are 10 to 20% below the spring rate and the risk is manageable with contracted indoor alternatives. For a programme built around a beach gala, the trade is less attractive.
Do you charge for producing a detailed quote?
A refundable card authorisation is required before we produce a detailed quote. It filters speculative enquiries, since producing a real quote takes two working days of somebody's time, and it is released in full within five days if you do not proceed.

50-100 guests
How many coordinators do we get at this size?
Guides at one per 28 delegates, so three or four, plus one on-site coordinator per 50, and a programme supervisor from 100. At 80 delegates that is three guides and two coordinators, which is what it takes to run waves properly.
Is a beach gala realistic for 100 people?
Yes, comfortably, from February to August. The setup is larger and the power requirement is real, and you need the indoor fallback contracted rather than identified. From September to December we would plan indoors.
Can 100 delegates fit in one hotel?
Yes, at any of the beachfront or riverside properties. The constraint at 100 is not rooms, it is finding a property with 53 rooms and 220 m² of banquet space free on the same dates.
How does the Hoi An evening work at this size?
As a restaurant buy-out with two return waves. Eighty people arriving at one old town restaurant without a buy-out means a queue and a split group, which undoes the point of the evening.

Da Nang MICE guide
Is Da Nang better than Phu Quoc for a corporate conference?
For a conference-weighted agenda with parallel sessions, yes, and clearly so: more properties, more breakout rooms and 15-20% lower cost. For a multinational incentive group where delegates arrive from several countries, Phu Quoc's visa exemption usually outweighs that.
How much notice do you need?
Forty-five days under 50 delegates, sixty for 50-100, ninety for 100-200. Add a month for June and July dates.
Do international delegates need a visa for Da Nang?
Yes, the standard Vietnamese entry route applies: visa exemption for some nationalities, eVisa for most others. There is no local exemption of the kind Phu Quoc has. We will tell you what applies to your delegate list, but we are not immigration advisers and for unusual cases you should take proper advice.
Can a programme include Hue as well?
It can — Hue is about two hours by road through the Hai Van tunnel — but it costs a day. For a three-night programme we would rather use that day on Hoi An or Ba Na, both of which are inside an hour.

Da Nang MICE season
Is summer really the wrong time to come?
Not wrong, but expensive and crowded. June and July are the domestic peak here and coincide with major city events. If your dates are flexible, moving to August or to the spring saves 15 to 25% on the same programme and widens the hotel shortlist considerably.
How bad is the autumn storm risk?
Real but manageable, and it concentrates from late September through November. A conference-weighted programme with a contracted indoor alternative rarely loses anything. A programme built around a beach gala in that window is taking a risk the discount does not cover.
Which is the single best month?
March, on balance: reliable weather, comfortable temperatures and availability that has not yet tightened the way April does. September is the value pick if you can accept some variability.
Does the season affect flight prices too?
Considerably, and it moves with domestic leisure demand rather than the MICE calendar. June and July are the most expensive flights of the year into Da Nang, which compounds the ground-rate increase in those months.

Da Nang and Hoi An
Can we do Hoi An and Ba Na on the same day?
We would advise against it. Ba Na needs a morning and Hoi An needs an evening, and stacking both means a twelve-hour day with two long transfers in between. Groups that try it remember the bus rather than either destination.
Is Hoi An suitable for a large group?
For an evening, yes, up to about 200 with restaurant buy-outs and staged return waves. As a base, the practical ceiling is lower, because Hoi An ballrooms run 200 to 500 m² rather than the 900 m² available on the Da Nang beach strip.
What about Hue?
About two hours by road through the Hai Van tunnel. It is a genuine destination but it costs a day, and for a three-night programme that day is better spent on Hoi An or Ba Na.
Do we need a coach for every movement?
For the group, yes, and the vehicle count follows the 45-seat threshold. For leadership or a separate executive track we would quote a dedicated vehicle, which is one of the items most often left out of a brief.

City MICE support
Does the city support programme reduce what we pay you?
No. It is a city measure and is additional to our commercial terms. Anything provided under it is passed through to the group in full; we charge nothing for preparing or filing the application.
Can we apply ourselves?
An organiser can, though the process assumes a local point of contact and documentation in the city's format. If you would rather handle it in-house we will give you what we have and stay out of the way.
Is it worth it for a group of 30?
Often, yes, and it costs you nothing to find out. Criteria vary by programme year and are not always weighted to large groups.
How current is the information on this page?
It reflects the position as at September 2026. Because the scheme is set annually, we verify the current criteria at quote stage rather than relying on this page, and we tell you the source.

Gala dinner
When is the beach-or-ballroom decision made?
Four hours before the first guest is due, against the rain radar and the wind reading at the beach. That leaves enough time to set the ballroom and start on time. Any later and the fallback exists only on paper.
Can the gala use the Dragon Bridge show?
Yes, if the dinner is on a Friday, Saturday or Sunday and the venue is on the river. The fire-and-water show starts at 21:00 and lasts about fifteen minutes; we write the run of show so the group is on the terrace with a glass in hand when it begins.
Is amplified sound allowed on the beach?
With a permit and a curfew. We file the application, which needs roughly four weeks, and we put the loud part of the evening early. The same applies to rooftops above residential streets.
Who provides the MC?
We do: bilingual Vietnamese and English, briefed on your company, your award categories and how to pronounce every name on the list. A mispronounced name is the fastest way to flatten an awards evening.

Team building
Is half a day enough?
Almost always. A full day works for the Hoi An race or a peninsula-and-beach combination with lunch between, but a full day of beach stations exhausts people and the last two hours produce nothing. If the brief says full day, we suggest half activity, half something else.
What happens on a wet morning?
The indoor version runs in the room we held, and the decision was made the evening before, not at breakfast. In the autumn window that room is a working part of the programme rather than an insurance policy.
Some of our people will not want to run around. What then?
Non-physical roles with real scoring weight are built in from the design stage: judging, timing, strategy, creative tasks. Designing them in is inclusion; offering them on the morning is visible accommodation, which is worse.
Can the Hoi An race run in the afternoon?
It can, but the old town fills from about four o'clock in high season and the lanes become a queue. A morning race with the afternoon free at the beach or on An Bang works better, and the group can return to the old town for dinner when the lanterns are lit.

Corporate events
Can a launch include press?
Yes. Press changes the room: dedicated camera positions, a separate press area, controlled sightlines for the reveal, and more rehearsal. Say so at brief stage; adding press provisions to a finished design rarely works.
Where does the equipment come from?
From production houses in Da Nang itself, which is the practical reason the city works for built events. Specialist items from Ho Chi Minh City or Hanoi add two to three days each way and must be confirmed at booking.
When do you need the final run of show?
Structure at fourteen days, detail at seven, and a technical rehearsal the day before. Later changes are possible but each carries risk on the night.
Can we stream to colleagues at home?
Yes, and for anniversaries and dealer meetings it is usually worth it. It needs multi-camera coverage, a tested uplink and a producer dedicated to the remote feed; as an afterthought it produces a stream nobody watches.

20-50 guests
Is twenty really worth a MICE structure?
Twenty is our floor and it works when recognition matters. If it does not, a well-run group travel booking will cost less and serve you better, and we will tell you so.
Do hotels give group rates at this size?
Partly. Real group rates and complimentary rooms generally begin around thirty delegates; below that you are close to individual rates with some flexibility on function space.
Should we build a stage for forty people?
Rarely. A good room, proper lighting, a rehearsed MC and a short awards segment land better at this size than a built stage that dwarfs the group. Put the money into the venue or the activity.
Da Nang or Hoi An as the base?
Under about fifty, Hoi An often wins on setting and the function space is enough. The trade is a forty-five minute airport transfer at each end instead of fifteen.

100-200 guests
How big can a single-property group be in Da Nang?
The largest beachfront resorts seat 400 to 800 at a banquet and the convention centre takes far more in plenary, so 200 sits well inside the ceiling. Above 250 we survey the site before quoting, because the pinch point moves from the ballroom to arrivals, catering flow and coordinator numbers.
How early must we commit?
Ninety days, and a hundred and twenty for June and July. The domestic peak and the city's own events take the same ballrooms.
Can the group be split across two hotels?
Yes, and on the beach road it works because neighbouring properties are a few minutes apart. One hosts all shared meals and the gala; budget for extra coordinators and a shuttle, and accept two breakfasts.
Is a site inspection worth it?
At this size, yes. A measured walk-through — floor plans, pillars, load-in route, power, a real internet test in the ballroom — catches what correspondence cannot. We arrange access and bring the checklist.

How to organise MICE here
How long from first brief to arrival?
Ninety days is comfortable for a group of a hundred or more. Forty-five days can work for a smaller group outside June and July, but compressing the timeline removes options rather than time.
Local operator or home agency?
A home agency manages the relationship and the flights; a local operator holds the hotel and production contracts and runs the days. Many groups use both. The arrangement to avoid is an agency that quietly subcontracts a local operator, because then nobody owns the programme.
How many operators should we brief?
Three. Fewer gives no comparison; more and every response gets thinner, because operators can tell when they are one of eight.
What do experienced planners ask that first-timers do not?
Whether the weather fallback is held or merely identified, what the operator's own cancellation terms are with suppliers, and the name of the person who will be on site. The answers say more than the proposal.

Weather and risk
What if a typhoon arrives mid-programme?
Indoor elements go on. Outdoor, sea and mountain elements stop, on the authorities' and operators' say rather than ours. The programme moves rather than cancels, and the contract has already fixed the cost treatment, so it is not negotiated while the wind is blowing.
Can weather be insured?
Event cancellation cover with weather triggers exists and is worth pricing for a high-value autumn programme with a large fixed production. For a spring programme with held fallbacks, the premium usually outweighs the exposure.
Is the autumn really unusable?
No. Many autumn days are fine, and rain often comes hard for an hour and clears. The genuine risk is the storm weeks, which cannot be predicted more than three days out. That is precisely why an indoor-weighted autumn programme is good value and an outdoor one is a gamble.
How far out are forecasts reliable?
Twenty-four to forty-eight hours: reliable enough to act on. Beyond seventy-two: indicative. The decision deadlines sit where they do for that reason.

Who is on the ground during the programme?
Alotour's own coordinators, guides and supervisor. Production, transport and activity partners are Da Nang companies we contract repeatedly and supervise directly, never a subcontracting agency.
What does MICEVIET supervision change in practice?
The standards are audited from outside: staffing ratios, reply times, held fallbacks and the post-event file. A missed standard is visible beyond our own company.
Do you work through agencies?
Yes, openly. What we decline is to sit behind an agency that presents our operation as its own without telling the client, because then nobody owns the day.
