The constraint is not rooms. It is rooms and a ballroom together

A 200-room resort whose largest ballroom is 200 m² cannot host a 120-delegate gala, however good the rooms are. In MICE the binding constraint is almost never rooms on their own, and Da Nang is deep enough in both that the real question becomes availability on your exact dates.

Do the arithmetic before you fall in love with a property

Two numbers, and they rarely align. Rooms needed is straightforward: multiply delegates by 0.53, because real groups do not split perfectly into twins. There is always odd gender balance and there are always people who get a single.

Where Da Nang is easier than an island

At 120 delegates you need 64 rooms and a 264 m² banquet space at the same property on the same dates. On the Da Nang beach strip a dozen or more properties can do that; on an island the field narrows to a handful. That difference is what keeps rates and terms negotiable here.

The beach strip

Where the largest properties and the biggest function spaces are. Best choice for 120-plus delegates and for anything with a beach gala.

Twenty to thirty minutes from the airport, forty-five to Hoi An.

Han River

City centre, riverside

Strong for conference-weighted programmes and for groups who want the city on the doorstep. Rooftop and riverside gala venues are here.

Fifteen minutes from the airport. Less beach, more evening options off-property.

City hotels

Four-star, inland

Lower cost, useful for budget-led programmes or as overflow. Function space is more limited.

Best when the programme spends most of its time off-property.

Hoi An

Old town and An Bang beach

For experience-led programmes. Smaller ballrooms, longer airport transfer, and a setting that does a lot of the work for you.

Forty-five minutes from the airport.

Room block mechanics

  • Complimentary allocation — commonly one free room per 15 to 20 paid, starting around 30 delegates. On a 120-delegate group that is six to eight rooms.
  • Single supplement — quote it separately from the start. Leadership and international delegates frequently need singles and retrofitting them is expensive.
  • Attrition allowance — the proportion of the block you can release without penalty, typically 10-20%. Negotiate this before signing, not when you need it.
  • Release date — when unsold rooms return to the hotel. Push it as late as you can.
  • Early check-in and late check-out — for groups on early or late flights this determines whether the first and last days work at all.
  • Upgrade allocation for leadership, usually available free if asked at contracting.

What to check on a site inspection

  1. Function space measured, not quoted. A dimensioned floor plan with pillar positions marked.
  2. The turnaround path. If the conference room becomes the gala room, where does the furniture go and how long does it take?
  3. Power capacity at the outdoor event site, and whether a generator can be positioned where it will not be heard.
  4. Breakfast capacity. A 120-person group hitting one restaurant at 07:30 will queue unless a second service or a private area is arranged.
  5. The walk from the furthest room block to the function space, timed. On the larger beachfront resorts this is a real number.
  6. Internet, tested. An actual speed test in the function room with people in the building.

Questions travellers ask most

Which hotel do you recommend?

It depends entirely on headcount, dates and what the programme is for, which is why we do not publish a fixed list. When you send a brief we come back with named properties, live availability and the specific trade-offs for your dates. A static recommendation list is out of date within a month.

Can we split a group across two properties?

Yes, and above 200 delegates it is sometimes the cleanest answer. It works when the properties are genuinely adjacent and one hosts all shared meals and the gala. It works badly when there is a transfer involved.

How early do we need to contract the rooms?

Ninety days for 100-plus delegates, sixty for 50-100. In June and July add a month: domestic peak and city events take the same rooms, and the function space usually goes before the rooms do.

Do you get better rates than we would get directly?

Usually, because we contract volume across the year rather than one group. But the larger gain is normally in the terms rather than the headline rate: attrition allowance, release date, complimentary allocation and late check-out are where a group's real money sits.
