Conferences sized by square metres, not brochure photos
Da Nang has more conference-capable hotels than any other Vietnamese destination outside the two big cities. That makes the sourcing question different here: not whether a venue exists, but which of them fits your layout, your breakout requirement and your dates.
Capacity, honestly calculated
Function space capacity depends entirely on layout. The same room holds very different numbers depending on how it is set, and hotel brochures almost always quote the theatre-style maximum because it is the largest number.
| Layout | m² per delegate | Use case | 120 delegates needs |
|---|---|---|---|
| Theatre | 1.3 - 1.6 | Plenary, one-way presentation | ~190 m² |
| Classroom | 2.0 - 2.4 | Training, note-taking | ~265 m² |
| Cabaret | 2.2 - 2.6 | Sessions with group discussion | ~290 m² |
| Banquet round | 1.8 - 2.2 | Gala, awards dinner | ~240 m² |
| U-shape | 2.8 - 3.5 | Executive meetings, under 40 | not applicable |
Breakout capacity. The larger beachfront and riverside properties here typically carry three to six secondary rooms alongside the main ballroom, which is what makes parallel-session agendas workable. If your programme needs four concurrent tracks, this is the practical reason to choose Da Nang.
Delegate packages
The international standard unit is the day delegate rate: meeting room, two coffee breaks and lunch, priced per delegate. It is the cleanest way to compare venues because it bundles the elements that vary least.
| Package | Includes | Indicative USD per delegate |
|---|---|---|
| Half-day delegate rate | Room, one break, basic AV | USD 18 - 32 |
| Full-day delegate rate | Room, two breaks, lunch, AV | USD 32 - 54 |
| Full day plus breakout | As above plus two breakout rooms | USD 44 - 72 |
| Residential day rate | Full day plus accommodation and dinner | USD 112 - 185 |
Rates include VAT and run roughly 15% below the equivalent on Phu Quoc, mainly because supply is deeper and nothing is shipped to an island. What is not in a standard delegate package and is routinely forgotten in budgets: LED wall beyond a basic screen, stage build, a second microphone set, simultaneous interpretation, and printed materials.
AV and the equipment question
- LED wall has largely replaced projection above 60 delegates. It works in ambient light, and beachfront function rooms here have a great deal of glass.
- Sound coverage is about room shape more than wattage. Long narrow rooms need distributed speakers, which costs more than a single stack.
- Breakout rooms are the reason many groups choose this city. Confirm the number and the size, not just that they exist.
- Simultaneous interpretation needs booths, receivers and two interpreters per language pair for anything over two hours. Interpreter supply in Da Nang is better than on the islands but still needs specifying at brief stage.
- Recording and streaming requires a tested uplink. We test it during the site inspection, not on the day.
Registration and delegate handling
For groups above about 120, registration stops being a table with a list on it. Badge printing on site, a queue that moves, a desk staffed at the right hours, and a way to handle the delegate who arrives on a different flight all become real operational questions.
- Pre-registration data collected with the rooming list at fourteen days out.
- Badges pre-printed, with on-site printing for changes and walk-ups.
- Desk staffed from the first arrival wave, not from the session start time.
- A visible schedule board and a printed pocket schedule — mobile-only schedules fail when roaming does.

Questions travellers ask most
How many parallel breakout rooms can we get in Da Nang?
At the larger beachfront and riverside properties, typically three to six secondary rooms alongside the main ballroom. This is the clearest technical advantage the city holds over the island destinations, and it is worth confirming with a dimensioned floor plan rather than a brochure.
Do we need a separate venue for the conference and the gala?
Not usually below 150 delegates, as long as the room can be turned around. A turnaround takes three to four hours and needs to be built into the agenda. Above 150 a separate space or an outdoor gala is generally cleaner.
Is the internet reliable enough for a hybrid conference?
At the major hotels, generally yes, and better than on the islands. It must still be tested rather than assumed, and a dedicated line contracted for anything streaming. We test during the site inspection.
What is the largest conference the city can host?
The largest beachfront ballrooms take 800 or so banquet guests, and considerably more theatre style. For the 20 to 200 range we handle, capacity is never the constraint. Matching rooms and function space at the same property on the same dates is.
