Below 50, a good dinner with an MC is enough. Above it you need a built stage, a proper lighting rig and distributed sound, because the back of the room can no longer see or hear from a floor-level setup.
Buffet becomes viable
Most hotels open buffet service around 40 to 50. It speeds service considerably and handles dietary variation better than a set menu at this size.
Waves, not a single movement
Transfers split across two or three vehicles, which means departure timing, a lead vehicle and a coordinator per vehicle rather than one guide for everyone.
The evening needs booking as a block
At 80 delegates an old town restaurant is a buy-out rather than a reservation, and the return runs in two waves.

Questions travellers ask most
How many coordinators do we get at this size?
Guides at one per 28 delegates, so three or four, plus one on-site coordinator per 50, and a programme supervisor from 100. At 80 delegates that is three guides and two coordinators, which is what it takes to run waves properly.
Is a beach gala realistic for 100 people?
Yes, comfortably, from February to August. The setup is larger and the power requirement is real, and you need the indoor fallback contracted rather than identified. From September to December we would plan indoors.
Can 100 delegates fit in one hotel?
Yes, at any of the beachfront or riverside properties. The constraint at 100 is not rooms, it is finding a property with 53 rooms and 220 m² of banquet space free on the same dates.
How does the Hoi An evening work at this size?
As a restaurant buy-out with two return waves. Eighty people arriving at one old town restaurant without a buy-out means a queue and a split group, which undoes the point of the evening.
