Twenty to fifty: one coach, one guide, every hotel open to you
Below fifty people, Da Nang and Hoi An stop being a shortlist and become a choice: every beachfront resort, every riverside hotel and every Hoi An property can take you, one coach moves the whole group, and a restaurant in the old town can be yours for the night. The number to watch is forty-five.

What a small group can do here that a large one cannot
- Stay in Hoi An. Under fifty, the Hoi An resorts and the properties on the road to An Bang beach are often the better base; their 200 to 500 m² ballrooms are plenty, and the old town is a bicycle ride away.
- Buy out a restaurant. A courtyard restaurant in the old town for thirty people is a stronger evening than a roped-off corner of a hotel dining room for three hundred.
- Cook, not watch. Cooking classes and craft workshops work as participation at this size; above it they become demonstrations.
- Take the Son Tra road or the Hai Van Pass as a half day, which needs one vehicle and no staging.
- Change late. Five extra delegates at thirty days out is a phone call.
The forty-five seat rule
A standard coach in Vietnam carries forty-five. At forty-six you add a second vehicle to every transfer and every excursion for the whole programme, and the second vehicle costs almost the same with one passenger as with thirty.
| Delegates | Vehicles | Transport per head | Comment |
|---|---|---|---|
| 44 | 1 × 45-seat | Baseline | |
| 45 | 1 × 45-seat | −2% | The efficient point |
| 46 | 1 × 45 + 1 × 16 | +45% | The step |
| 55 | 1 × 45 + 1 × 16 | +21% | Absorbing the second vehicle |
| 60 | 1 × 45 + 1 × 29 | +16% | Better again |
A list at 46 to 52 should be looked at hard. If it cannot become 45, consider whether it can become 55 to 60, since the second vehicle is paid for either way.
A three-day shape that suits the size
| Day | What we would do |
|---|---|
| 1 | Arrive, check in, afternoon free, welcome dinner in a bought-out restaurant in Hoi An or on the river |
| 2 | Morning session at the hotel, afternoon on the Son Tra road or at the beach, dinner with a short awards segment |
| 3 | Early cable car to Ba Na before the queues, or the old town before the shops open, then the airport |
Because everything fits one coach and one restaurant, this band absorbs changes that would force a redesign at a hundred delegates.
Indicative cost
| Configuration | USD per person | VND per person |
|---|---|---|
| 3 days 2 nights, 3-star, no gala | 165 - 255 | 4.3 - 6.6 m |
| 3 days 2 nights, 4-star, with gala | 255 - 395 | 6.6 - 10.3 m |
| 4 days 3 nights, 4-star, full programme | 330 - 505 | 8.6 - 13.1 m |
| 4 days 3 nights, 5-star, full programme | 480 - 800 | 12.5 - 20.8 m |
VAT in, flights out. Per-head cost is highest in this band because coordination and any production are shared by the fewest people.
Small groups get the same written programme
Feasibility in eight working hours, detailed quote in three working days, whatever the headcount.
Questions travellers ask most
Is twenty really worth a MICE structure?
Twenty is our floor and it works when recognition matters. If it does not, a well-run group travel booking will cost less and serve you better, and we will tell you so.
Do hotels give group rates at this size?
Partly. Real group rates and complimentary rooms generally begin around thirty delegates; below that you are close to individual rates with some flexibility on function space.
Should we build a stage for forty people?
Rarely. A good room, proper lighting, a rehearsed MC and a short awards segment land better at this size than a built stage that dwarfs the group. Put the money into the venue or the activity.
Da Nang or Hoi An as the base?
Under about fifty, Hoi An often wins on setting and the function space is enough. The trade is a forty-five minute airport transfer at each end instead of fifteen.
