Four lines to start. A named person replies within eight working hours
A finished brief is not required. Tell us the headcount band, the month, the number of nights and a work email, and the reply says whether your week works in Da Nang at that size and which constraints apply — the July ballroom squeeze, the autumn weather, the Hoi An crowd hours.

What comes back, and when
| When | What you receive |
|---|---|
| 8 working hours | Feasibility: do the dates work at this headcount, and what should you know before going further |
| 3 working days | Detailed quote: named Da Nang and Hoi An properties, a day-by-day programme, rates by group size |
| At proposal | A check on whether your group qualifies for the city MICE support programme, and the filing if it does |
| Then | A seven-day free hold on rooms and function space while you get internal approval |
Working hours are Monday to Friday on Vietnam time. An enquiry sent on Saturday is answered on Monday morning, and we tell you so rather than let the clock run quietly.
One person, start to finish
The consultant who answers your first email writes your quote and, for any programme of size, meets you at the hotel. Accounts are not passed from a sales team to an operations team; the handover is where detail is lost and where clients end up explaining their own brief twice.
From 100 delegates the on-site supervisor is named in the contract, with an escalation path and a duty number answered outside office hours for the length of the programme. Asking any operator for that in writing is a fair test.
| Stage | Who | Owns |
|---|---|---|
| Feasibility | The consultant who takes the brief | Whether dates and headcount work |
| Quote and contract | The same consultant | Properties, programme, rates, terms |
| Sixty days out | Consultant and operations | Rooming list, run of show, permits, menus |
| On site | Named supervisor and coordinators | The programme and the duty line |
| After | The same consultant | Final account, documents, debrief |
Helpful if you have it
- The objective: recognition, cross-team mixing, business content or client hospitality.
- A headcount band and how firm it is.
- Month, number of nights, and how far the dates can move.
- A land-only budget per person.
- Where the delegates are coming from.
- Anything fixed: a beach gala, a Hoi An evening, Ba Na, a hotel standard.
Send them. Most briefs arrive that way, and the first reply is usually what settles the rest.
What we will not do with your enquiry
- Add you to a mailing list; the address is used for this enquiry only.
- Pass the brief to another operator; if we cannot run it, we say so and why.
- Quote a figure we cannot stand behind; a vague brief gets two questions, not an invented range.
- Chase you; one follow-up after the quote, then it is yours to pick up when the decision is made.
Start with four facts
Headcount band, month, nights, work email. Everything else can follow.
Questions travellers ask most
How fast is the first reply?
Within eight working hours, Vietnam time, Monday to Friday. Every enquiry sits on an internal timer that escalates before the deadline is missed.
Can we phone instead?
Yes; the sales line is answered in working hours and is on this page. Dates and headcount are still better in writing, because it saves a round of questions.
Is the detailed quote free?
The feasibility reply is free. A detailed quote needs a refundable card authorisation first, released in full within five days if you do not go ahead; it keeps the queue to serious enquiries.

Dates, party size and the places you care about are enough to start. You get a draft route and an indicative price, not a brochure.
